Workflow automation is the use of software to automatically execute a defined sequence of steps — a workflow — based on a trigger event, without requiring human intervention at each step. Examples: when a contact form is submitted, automatically create a CRM record, send a confirmation email to the prospect, and notify the sales rep by SMS. The trigger (form submission) kicks off a chain of actions that previously required manual work.

Workflow automation differs from general business automation in specificity: it describes the automation of structured, sequential processes with defined decision points and outputs. It's particularly valuable for client-facing processes (onboarding sequences, proposal follow-ups, project status updates), internal operations (job assignment, invoice generation, report distribution), and cross-system data management (keeping CRM, accounting, and project management in sync).

Workflow automation tools exist on a spectrum: no-code platforms (Zapier, Make) for simple linear automations between connected apps; low-code platforms (Retool, Bubble) for more complex workflows with custom logic; and custom-built automation systems for businesses whose workflows are too complex, proprietary, or high-volume for off-the-shelf tools. The right tool depends on workflow complexity and data volumes.

The ROI on workflow automation is straightforward to calculate: how many hours per week is your team spending on the task being automated, and what is the loaded hourly cost of that time? Most automation projects pay for themselves within 6–18 months in labor savings alone — before accounting for error reduction, faster response times, and the ability to scale without proportionally increasing headcount.
